HIPAA Privacy Statement

Campus Companion (“we,” “our,” or “us”) is committed to protecting the privacy and confidentiality of personal and health-related information in compliance with the Health Insurance Portability and Accountability Act of 1996 (“HIPAA”) and applicable federal and state privacy laws.

This Privacy Policy explains how we handle, use, and safeguard Protected Health Information (“PHI”) when you or your student engages with our services.

1. Our Commitment to HIPAA Compliance

We recognize that some services we provide may involve access to or communication about a student’s medical information. In accordance with HIPAA, we:

  • Maintain strict safeguards to ensure confidentiality, integrity, and security of PHI.

  • Train all contractors and Compasses (our companions) on HIPAA regulations, privacy practices, and confidentiality standards.

  • Limit access to PHI only to those employees or contractors who need it to perform their duties.

  • Require all contractors to sign confidentiality and HIPAA compliance agreements as a condition of their engagement.

2. Use and Disclosure of Protected Health Information

We may access or communicate PHI only with proper authorization. This includes:

  • When a student or parent/guardian signs a HIPAA release form allowing us to receive updates or relay information.

  • When coordinating with medical professionals or facilities as directed by the student or their authorized representative.

  • When required by law, regulation, or valid legal process.

We do not use PHI for marketing, sales, or any unrelated purpose. PHI is only used in the best interest of the student and solely for providing the services requested.

3. Contractor Training and Accountability

All Compasses and contractors engaged by Campus Companion receive:

  • Initial training on HIPAA privacy and security rules prior to performing any service involving PHI.

  • Ongoing refreshers and updates to maintain compliance.

  • Written policies and procedures that they must acknowledge and follow.

Violations of these standards are taken seriously and may result in termination of engagement, reporting to appropriate authorities, and/or legal action.

4. Safeguards to Protect Your Information

We take the following precautions to protect PHI:

  • Secure communications: Information is shared only through secure, approved methods.

  • Minimum necessary standard: We only collect or share the minimum amount of PHI required to fulfill the service.

  • Physical safeguards: Contractors are instructed never to leave documents or personal information unattended.

  • Administrative safeguards: Access is role-based and only granted to individuals who require PHI to perform their duties.

5. Your Rights

As a parent, guardian, or student, you have the right to:

  • Authorize or revoke our access to your PHI at any time.

  • Request a record of disclosures we have made, if applicable.

  • Restrict or limit how your PHI is used or shared.

  • File a complaint with us or directly with the U.S. Department of Health and Human Services (HHS) if you believe your privacy rights have been violated.

6. Limitations of Our Role

Campus Companion is not a medical provider, caregiver, or licensed healthcare professional. Our role is to act as a trusted companion and liaison, relaying information to families when authorized. We are not responsible for the accuracy of information received from medical facilities or for outcomes of medical care.

7. Updates to This Policy

We may revise this HIPAA Privacy Policy periodically. Any changes will be posted on this page with an updated effective date. Continued use of our services after changes are made constitutes acceptance of the revised policy.
